Outdoor Worship Manual

Your responsibilities

For a service outdoors, you will:

  • Transport equipment to the worship venue;

  • Setup all equipment;

  • Start the worship gathering;

  • Screen share and record the sermon in Zoom;

  • Tear down all video equipment; and

  • Upload the sermon to YouTube.

 

Reminders before you begin

  • It is strongly advised to bring a small table or stationary surface from HPC to place equipment.

  • You should also plan on bringing a pair of headphones or earbuds.

  • Worship slides are typically shared via Google slides. Go to shared drive documents to locate the most recent presentation.

Setup

Begin with the computer closed.

 

Video Setup

Step 1

Remove the Sony camera from the small camera bag. Attach the following items.

Micro HDMI to HDMI adapter (attaches to camera)

Micro HDMI to HDMI adapter (attaches to camera)

HDMI cable (attaches to adapter)

HDMI cable (attaches to adapter)

HDMI to USB device (attaches to HDMI cable)

HDMI to USB device (attaches to HDMI cable)

Connect the HDMI to USB device directly into the AV laptop with the single port on the right side.

Step 2

Next, connect the camera to power by using the following items.

Micro USB to USB cable (this might already be connected to the block)

Micro USB to USB cable (this might already be connected to the block)

Charging block (attaches to USB)

Charging block (attaches to USB)

Power source

Power source

Audio Setup

Step 1

Connect the audio interface.

 

Plug the USB cable directly into the AV laptop.

Step 2

Lastly, insert an audio cable into each labeled port on the audio interface. Inform the person running sound of the label you used for each cable.

 

Final steps

Open the computer and make sure it is turned on. Finally, connect the ethernet cable to the computer.

 Starting the gathering

Launch VMix

Step 1

Launch the VMix application from the laptop’s shortcuts or start menu. The “external” button should be illuminated in a bright red color.

Step 2

After the application starts, open the “Outdoor” preset from the top left menu. Make sure the preview window shows the camera feed properly. If it is not displaying properly, troubleshoot the issue.

Launch Zoom

Step 1

Launch Zoom from the laptop’s shortcuts or start menu, and start the “Weekly Worship” meeting from the schedule.

Step 2

Open the audio settings. Make sure that the speaker output is set to “PreSonus AudioBox” and the microphone is set to “Output Cable audio.”

Step 3

Open the video settings. Make sure that the camera input is set to “VMix External.” If you encounter problems, troubleshoot the issue.

Prepare for worship

Step 1

Admit worship leaders and staff from the waiting room as directed. Assign “cohost” and “host” roles as directed. Watch a tutorial on admitting participants ⟶

Step 2

Prepare any slideshows, files, or media that will be shared during the gathering. Be certain that you are familiar with the service order and elements.

Screen sharing

Step 1

Click the green “Screen share” button at the bottom of the Zoom window.

Step 2

Select the appropriate window from the pop-up window, and select, “share” in the lower right of the pop-up to begin sharing.

Step 3

When it is time to end the screen share, select the red “stop” button at the top of the screen.

 

Recording the sermon

Step 1

Select the “record” button from the Zoom meeting controls at the bottom of the window.

Step 2

When the sermon has concluded, stop the recording with the button in the same location.

 

Manage participants

To mute all participants: Click the “Mute all” button in the participants area of the Zoom window.
To mute a specific participant: Hover over the participant’s name, and click the “mute” button.

To unmute all participants: Select “Ask all to unmute” from the drop-down menu next to the “mute all” button.
To unmute a specific participant: Hover over the participant’s name, and click the “unmute” button.

 

Upload to YouTube

Before you upload

Open the Zoom recording with the Windows Photos application. Edit the video by trimming the beginning and ending to only the sermon.

Uploading

Go to studio.youtube.com and use the button in the top right corner to upload. The login credentials should be saved if the browser is not already logged into YouTube. Follow the on-screen instructions to complete the upload.

Please remember to save the video to the Sermons playlist.

 

Tear down

Re-pack all pieces of equipment in the camera bag and grab bag. The AV laptop and audio interface do not need to be packed. All elements should be returned to the AV closet in the sanctuary and securely locked.
